Small Grant Support Guidelines
Final Reporting Requirements and Payment
- Applicants must submit a separate e-grant Final Report for each funded project within 30 days of the end date of the project to initiate payment process.
- Applicants are also required to mail hard copy Final Report Support Materials which must be postmarked on the date of e-grant Final Report submission.
- Late Final Reports and/or Support material greatly effect review of future applications.
- Extensions for filing a Final Report and Final Report Support Material must be requested at least 5 working days prior to the final report due date to avoid “late“ status. Extensions will not be granted after July 30.
- Payments are generally made within 2-6 weeks upon receipt of the Final Report and Support Material for each project.
Acknowledgement
- Organizations are required to credit the Oklahoma Arts Council in all printed programs, advertising, news releases, promotion and publicity related to funded projects only.
- Failure to credit the Oklahoma Arts Council jeopardizes future funding.
Legislative Appreciation
The Oklahoma Arts Council receives funds from the State of Oklahoma
and the National Endowment for the Arts.
- Grant recipients are required to contact their legislators and express appreciation for legislative support of the Oklahoma Arts Council. Copies of the letters are required final report support material.
Fiscal Agents
Project funding must be specific to the applicant organization. The
applicant must retain fiscal and administrative management of the
project. Umbrella organizations or organizations acting as fiscal
agents for non-eligible organizations are not eligible to apply for
funding from the Oklahoma Arts Council.
Colleges and Universities
- Colleges and universities which receive funding through the Oklahoma State Regents for Higher Education or substantial private sources are strongly encouraged to form a partnership with a local arts organization(s) in their community.
- Direct funding to these institutions will be considered lower priority when arts organizations are active within the same community.
- Financial awards to these institutions are considered only for projects that are community-based or generate area-wide arts involvement or where the college or university is the sole source of arts events in a community.
- Funding will not be considered for master-classes that directly relate to curriculum.
- Any funding from the Council must apply directly to the activities of the project and not to indirect costs. Only 501(c)(3) Arts Organizations may include administrative cost(s) in the budget itemization. Applications to the Council must be coordinated through the college/university’s grants office.
Grant Cancellations
Funding for projects may be withheld or cancelled for any of the following
reasons:
- Failure to submit a Final Report
- Failure to notify the Oklahoma Arts Council, in writing, of any significant change in a project
- Non-compliance with the terms of the contract
- Non-compliance with the Legal Assurances
- Failure to meet the matching funds requirement
Appeals Process
- Appeals must be submitted in writing to the Executive Director of the Oklahoma Arts Council within 10 working days of the organization’s notification of the Council’s action on its grants application.
- The Executive Director will respond to the appeal within 30 days of the receipt of the appeal.
Final Report Payment Guidelines
Final reports submitted
1-30 days after the due date will result in a 15% reduction of the
amount paid to the reporting organization. For
instance, if the original award was listed as $2500 and the final report
was submitted after the due date, the amount paid by the Oklahoma Arts
Council to the organization would be $2125.
Final reports submitted more than 30 days past the due date will result in cancellation of the grant and no payment of any kind will be made to the organization.
